Administrative Assistant Opportunity!

The Alarm & Security Department of Oliver Fire Protection & Security is seeking an experienced administrative professional to provide support to the Sales & Operations teams.

Position Responsibilities include but are not limited to:

  • Support and assist the Sales Manager and Sales Team as needed throughout all stages of the sales process as it relates to the marketing, promotion, and sales of project solutions involving fire alarm, security, access control, CCTV, sound & communications, master clock, other electrical and electronic systems and products, and associated Maintenance, Service, and Monitoring Agreements
  • Communicate effectively and in a timely manner sales leads to the responsible person within the Alarm Department or Company
  • Communicate and respond effectively and in a timely manner any messaging or correspondence relating to clients and company personnel
  • Data Entry of Leads and opportunity records
  • Generate and distribute periodic sales and job cost reports
  • Responsible for the orderly maintenance of all physical and electronic file folders
  • Prepare contracts for approval
  • Assist in the creation and duplication of submittal packages for project installation jobs including such items as data sheets, calculations, drawings, and or/operation and maintenance manuals, project close-out details
  • Assist Project Managers with change order data entry, hardware sale documentation
  • Assist with weekly job review meetings, send out action items to participants

Qualifications & Experience:

  • High School Diploma or equivalent
  • Five years’ experience as an administrative assistant in a technical sales and/or operations environment
  • Microsoft Word, Excel, Powerpoint, Outlook, OmniForm, Scanner experience
  • Minimum typing/word processing speed: 65 wpm
  • Valid Driver’s License
  • Construction Industry experience helpful
  • Industry knowledge of fire alarm, security, CCTV, access control or other life safety systems helpful
  • Excellent communication skills
  • Friendly, positive attitude
  • Very highly motivated
  • Must pass a pre-employment drug screen and background verification check
