We are seeking a talented and energetic individual to be an Office Manager our office in King of Prussia, PA.

General overview of our company

We are a third-generation family business with approximately 275+ employees spread over (3) office locations.

Our focus is on three primary commercial sectors; fire sprinkler, fire alarm, and security.

Primary Objectives of Office Manager:

  • Responsible for the administrative functions of the company
  • Reports directly to the Chief Financial Officer, and interfaces with the entire Company
  • As phone administrator has knowledge of voicemail system and familiar with process in order to maintain system.
  • Evaluates all corporate services to ensure competitive pricing. Includes building cleaning, copiers and postage.
  • Assist in the maintenance and renewal of business insurances including health insurance, general liability, and others as required.
  • Organize and plan company social functions and coordinate team building committee activities (includes arranging corporate luncheons and special company events).
  • Oversee administrative staff and provide advocacy, training and information.
  • Implement technology and processes as required to enhance office operations.
  • Coordinate team building activities (Corp. lunches, company events).
  • Plan and execute corporate meetings.
  • Backup direct reports
  • CFO special projects

HR/Benefits Administration

  • Preparation of Annual Review paperwork for all in-house employees.
  • Coordinate and conduct new employee orientation and ensure all documentation is completed and resources are provided to new employee.
  • Administer Performance Pro review system.
  • Execute motor vehicle report and background checks and credentialling for staff
  • Assist in filling open positions with qualified candidates through timely recruitment, interviewing, and evaluation of candidates.
  • Post and manage open positions on LinkedIn and Indeed.
  • Track employee retention.
  • Prepare termination paperwork and perform exit interviews.
  • Coordinate employee health care enrollment and/ or changes. Assist employees with healthcare billing/coverage problems.
  • Coordinate and assist employees with FMLA.
  • Coordinate and assist employees with ST/LT Disability.

Education and Qualifications:

  • Bachelors’ degree preferred
  • Experience in administration
  • Positive and energetic personality a must.
  • Customer service experience
  • Proficient skill with MS Office software; word, excel, etc.
  • Extensive experience with LinkedIn and Indeed.
  • Excellent phone skills
  • Excellent verbal and written communication skills

Job Type: Full-time

Pay: $60,000.00 – $75,000.00 per year

*Pay scale based on experience, education & certifications.
